Consistency Builds Email Value

When using email as communication, think about what you’re saying. Are you marketing something? Providing a “how-to”? Relaying an opinion or breaking news? Hopefully, your audience will understand what you write about, and that’s what you need to do — stick to the topic and provide your readers with the goods.

A steady, predictable message builds long-term value without overwhelming readers. Breaking news, for example, needs to be sent out often. Marketing, not so much. How-to emails (like this one) are fine once a week. Unlike me, set a schedule and stick to it.

Checklist:

☐ Do I send emails on a predictable schedule?

☐ Are my emails helpful rather than promotional?

☐ Would I enjoy receiving my own emails?

Decide on a simple rhythm: once a week, twice a month, or twice a day. Mark your calendar so you don’t forget. Stick to it.

Email Lists Are Built on Trust, Not Sales

Email lists are one of the most valuable and fluid digital assets you can build. Unlike social media, you own your list. No matter how you build that list, it becomes your lifeline and financial asset when everything else could fail.

But its true value comes from trust. These lists are not for sale, rent, or trade. They represent real people who chose to hear from you. That is what makes these lists valuable.

Checklist:

☐ Am I collecting emails with clear permission (do you offer unsubscribe and opt outs)?
☐ Have I avoided buying or renting email lists? (What a waste of money — these people might not be your market, and worse, they may not even exist).
☐ Do I clearly state that I do not sell subscriber information?

Try This (5-Minute Action):
This is probably the easiest tip I’ve offered all year. Add one sentence to your sign-up form: “Your email is never sold or shared.” That’s it. Done.

Decide: Income Asset or Legacy Asset

A brief run-down on the difference between an income asset and a legacy asset. Assets include almost everything a person or business owns and controls that is monetary in value and can generate future revenue. The difference between an income asset and a legacy asset can be broken down as follows:

Income Assets: These assets generate immediate and consistent cash flow, such as interest, dividends, or rent. Examples include dividend-paying stocks, bonds, CDs, annuities, and real estate options. Generally, income assets are fluid. They offer high liquidity and yield.
Legacy Assets: These assets create a need for long-term wealth retention, a transfer to heirs, or something of sentimental, rather than financial value. Examples include a family business, a vacation home, heirloom jewelry, silverware, or other vintage or antique items, and inherited underperforming real estate. These items often offer much lower liquidity, and succeeding generations often do not want the burden of inheritance.

Treat every blog post like it’s a reusable product

A blog post isn’t “just writing.” If you plan to use it as a digital asset, try to put some planning in place. If you have a coherent string of blog posts that you can use later as handouts, a small how-to book, or other matter that might benefit you financially, that’s the goal. One post can work for you many times. With that said, a blog post is an asset you can reuse as:

An email
A social post
A printable
A chapter seed for a future book

2. Own your content—always back it up. Save your blog posts in at least two places:

Your website or blog.
A folder on your computer or cloud drive. If a platform disappears, then your work doesn’t.

3. Write with one clear reader in mind
Don’t write for “everyone.” Narrow your niche. Write for one person with one problem. You don’t need to write to that same person every week. For instance, if you write about poetry, you can focus on sonnets one week (a clarion call to sonnet lovers), and write about cinquains the next week (what the heck are cinquains!?!).

Clear writing ages well, and strong clarity makes content valuable for years.

Keep One “Final Draft” Folder

This episode might be the shortest tip ever, but it’s one that everyone needs to hear. Don’t tell me you haven’t done it.

You wrote your digital content. Now focus on:

Separating drafts from completed work
Creating one clearly labeled Final Drafts folder — the draft folder(s) go inside the Final Draft folder, but they do not mingle with the Final Draft.
Avoiding scattered finished pieces. Put all the orphans in folders.

Why this matters:
Scattered drafts create stress. A clear “finished work” space turns writing into a true asset ready for publishing, selling, or preserving.

Use This Checklist:

☐ Do I know which pieces are finished?

☐ Are they separated from rough drafts?

☐ Could I find a completed piece in under one minute?

Try This (5-Minute Action):
Move one completed document into a clearly labeled “Final Drafts” folder. You might realize you spent several minutes looking for it, eh? Yes, make sure they’re labeled clearly. Your future self and your descendants will thank you (and maybe your ancestors, too, if you’re in touch).

Get to Work on Those File Names

Perhaps the easiest mistake to make in creating art, photo, or document files is to believe that we will remember what “FLWP1992flipflopAndy” means in 2026. Using descriptive file names is imperative to keep your digital asset ducks in a row. Naming those files appropriately and using folders within folders (perhaps file into Place Folder into Year Folder?) can add both to the value of your assets and lessen the burden on your memory. Add version numbers when needed, and avoid vague names like “newbanner”. C’mon. You did that, and you know it.

Why this matters:
Clear and recognizable file names reduce clutter. They also make your work usable for assistants, collaborators, or family members in the future. Think of them, if not yourself.

☐ Does this file name describe the project?

☐ Is there a version number if needed?

☐ Could someone else understand this name without explanation?

☐ Can the journalistic “who, what, where, when, how” be applied to this file?

Trust me, don’t count on your filing skills to be correct, either. You may find that mystifying “FLWP1992flipflopAndy” file in a 1990 folder. At least you added a year to that file.

PS “FLWP1992flipflopAndy” refers to West Palm Beach, Florida in 1992, when Andy, who wore suits and flip-flops, directed a photo shoot.

Try This (5-Minute Action):
Rename three design files with calm, specific titles. Then, name three more. If you take 5-10 minutes per day to correct your files and move them into folders that are common-sensical, you might have a clean system that will work for you and for anyone else who has access.

Design Once, Reuse Often

You don’t need new designs every week. Now focus on creating something worth your while that may lead to more income:

Use templates instead of one-off designs
Keep consistent fonts and colors (branding)
Duplicate strong designs instead of recreating from scratch

Save Editable Versions of Everything

If you already create graphics, banners, and visual posts, you’ll know the meat in this post. But, you might be far behind the newbie who needs this information, because you haven’t filed your work correctly. Now focus on:

Keeping editable design files (Canva, layered files, source docs)
Saving the final exported images separately
Making sure text is still changeable inside the original file (oops!)

Why this matters: As a graphic or visual designer or artist, you already know that a flattened image is the end of flexibility. Newbies may not know this, and it’s a difficult lesson to learn. An editable file allows you to update pricing, dates, colors, branding, or repurpose the design later without starting over.

☐ Is the exported version saved separately from the working file?

Save Originals Before Editing

Editing is fine. Enhancing contrast, cropping, or cleaning up an image can make it more useful. But the original file, usually at a high resolution, is the true asset. This image requires attention and safe storage so you can refer to it later and use it again for a different project.

Separate Personal Photos from Business-Use Photos

Not every photo is meant for public view. Separating personal memories from images intended for sharing or monetizing protects both your privacy and your peace of mind. Use the labeling tips article I posted last week, and continue to label all photos with that information. Then, follow the suggestions below to begin separating your photos between private and public.

It’s a good idea to know which images are “safe to share” without hesitation or the requisition of permission. Focus on:

A clearly labeled personal memories folder, with folders within that main folder divided into categories that make sense to you (and to your family if something happens to you).
A separate folder for professional or public use. Again, separate the photos by creating new files within this file to categorize your images. These images may not all be yours. Include images you have permission to use publicly. Be sure to note the photographer, etc., on these image labels (see the “Try This” below before you begin).

Why this matters:
When personal and business photos are mixed, people hesitate to publish anything. Clear boundaries make it easier to say yes to opportunities.

Checklist:

☐ Do I know which photos I would never post online?
☐ Do I have images I feel confident using publicly?
☐ Are these folders clearly labeled?

Try This (10-Minute Action):
Create a new folder titled “Approved for Online Use” in your public folder.
Move just three photos into it that you’d feel comfortable sharing today.

Treat Photos as Historical Records

Photos are more than images. They provide evidence of people, places, and moments. With that said, without context, their meaning fades. With even a little structure, they become powerful records. Organizing those photographs makes more sense when you treat them as historical records. Don’t rely on programs you didn’t design to log your photos as you produce them. Be proactive by following the suggestions listed below.

Label the photographs with text. Focus on:

Dates (exact year if possible)
Locations (city, county, or landmark)
Names of people or subjects
Events or occasions, if known

Why this matters:
A photo labeled “IMG_4321” tells you nothing. A photo labeled “Imma_Goin_Lynchburg VA_9.4.1924” tells a story and can be searched, sorted, and shared with confidence.

Checklist:

☐ Does this photo have a meaningful filename?
☐ Can someone outside your family understand what it shows? (The real litmus test)
☐ Would this image still make sense 20 years from now? If not, why not?

Try This (5-Minute Action):
Rename five photos using this format, rinse, and repeat for a full year if needed.

In this final post on blogs as digital assets, I want to focus on how to organize and complete your blog entry. I’m guilty of not paying attention to many of these tools, but that’s one reason why I write these posts. Sometimes I’m learning right along with you.

The Tag-to-Product System

Think of every blog post as a puzzle piece. Tags are how you tell the computer, and your future self, which pieces belong together.

Instead of using dozens of random tags, you use three simple kinds (This is great SEO, people):

1. Topic Tags

These say what the post is about.

Examples:

genealogy
poetry
caregiving
digital assets
family history
creative writing

These let you group posts by subject later.

Checklist
☐ Pick 5–10 main topics for your site
☐ Use only these as topic tags
☐ Never invent new ones unless your business changes

This keeps your library clean.

2. Problem Tags

These tags say how you're addressing the reader’s pains or needs.

Examples:

overwhelmed
stuck
beginners
burnout
money stress
writer’s block
research confusion

This is gold for products, because people buy solutions to problems.

Checklist
☐ Add one problem tag to every post
☐ Ask: “What is the reader worried about here?”
☐ Use the same words over and over so patterns form

Later, you will be able to see things like: “Wow, I have 37 posts about burnout.”

That becomes a book, a workbook, or a course.

3. Format Tags

These describe how you’re presenting the post, or the format.

For example, is it a…

how-to
checklist
story
poem
tutorial
resource list
prompt

This is what lets you say later:

“Show me all my checklists”
or
“Show me every poem about family history.”

Checklist
☐ Pick 5–8 format tags
☐ Add one to each post
☐ Keep them simple

The Three-Tag Rule

Every post should have:

• 1 topic tag
• 1 problem tag
• 1 format tag

That is all.

Example for one of these Hyperdivergent posts:

Topic: digital assets, digital management
Problem: how to
Format: tutorial

Now your post lives in three useful collections at once. Believe me, I’m starting this habit today!

Why this habit can create products later

Six months or a year from now, you will be able to click a tag and instantly see:

• All posts about a given topic
• All posts for tutorials
• All posts that appeal to the reader’s current emotions.

Those lists can become ready-made books.

You are no longer staring at hundreds of posts, wondering what to sell, because the tags tell you.

Here’s a checklist you can copy, paste, and print out…

You can give them this starter list to copy.

Topic tags:
☐ (their niche words)

Problem tags:
☐ confused
☐ overwhelmed
☐ starting out
☐ stuck
☐ afraid
☐ curious

Format tags:

You can adjust the tags however you want, but the sooner you use this simple system, the sooner you exit chaos and enter sublime pre-meditated architecture.

Write for one real reader: the Clarity Test

Aren’t you tired of figuring out your “niche”? Unfortunately, most blogs fail because they are written for “everyone.” Digital assets only grow in value when they are clear about who they help. I hope I can help you this week with some clarification along those lines.

This week, fill out the blanks on a piece of paper:

Name Your One Reader

Have them fill in:

My reader is a: ____________________
They are struggling with: ____________________
They want: ____________________

Example:
“My reader is a tired family caregiver.
They are struggling with burnout.
They want simple ways to feel human again.”

What I use:
”My reader is curious about making money online.
They are struggling with making that money.
They would like to know more about digital assets and how to monetize them.”

The above three sentences can become your writing compass.

The Before-You-Publish Test

Before hitting publish, answer these three questions:

☐ Would this make sense to my one reader?
☐ Does it solve one problem they actually have?
☐ Would they feel seen when reading it?

If the answer is no, the post is not done yet.

The Long-Term Value Test

Strong digital assets age well when they stay focused.

Ask yourself: “If someone found this post ten years from now, would it still help my reader?”

While trends come and go, clear, simple writing lasts longer than using slang, current events that don’t pertain to your product or service, and scattered content.

Why defining your reader turns a blog into an asset

When writers do these two things:

• Keep their files
• Write for one clear person…

…their blog stops being about “posts” and becomes a library. That library can later transform into books, printables, courses, paid newsletters, or client services.

That is the quiet power of blogging as a digital asset.

A blog post is not just a post. It is a file you own, and it’s part of your digital assets. If it only lives on one website, you do not really own it yet. Interesting concept, no? Just a friendly reminder that platforms change, domains expire, companies close or chose to close their blog assets on a whim. But you can maintain ownership over your blog posts with a simple task. Not difficult to understand if you follow…

The Two-Place Rule

Every post I publish must live in at least two places:

☐ On my website
☐ In my own storage (computer, Google Drive, Dropbox, or external drive)

If either box is empty, the post is not finished. Backing up your writing is common sense. Backing it up in a secure location (or two) makes even more sense.

Set up a “Blog Vault”

☐ This week, create a folder called My Blog Vault
☐ Inside it, create one folder per year (2026, 2027, etc.)
☐ Save every post as a simple document (Word, Google Doc, or PDF)

Now your writing is no longer tied to one platform. It becomes something you can reuse in e-books, courses, newsletters, and print materials.

The One-Minute Backup Habit

After publishing a post:

☐ Copy the final version
☐ Paste it into the Blog Vault
☐ Hit save

That is it. One minute. But it protects years of work. Writers who keep their own files keep their future income.

Speaking of sharp and mind, begin 2026 by checking to see if you need to catch up with any certifications, skill sets, or other education. Your best asset is YOU, even though you’re not digital.

Try this:

☐ Revisit courses or memberships you’ve already paid for.

☐ Finish any half-completed lessons.

☐ Bookmark or schedule time for skill refreshers.

☐ Choose one new topic that excites you and dive in.

Bonus Tip: Continuous learning compounds like interest. Small steps keep you ahead of the curve.

Good Monday to you! We’re only two weeks out from the end of the year, and things remain crazy around here. We’re taking a hiatus for the holidays and catch up with everyone in 2026. I hope you all experience a season of happiness and can welcome the New Year with hope.

Review Who Has Access

I’m not asking if you have trust issues. Most people do. Trust is earned, and it takes time to obtain that trust. You can also lose it in a second with any omission or commission. You’re only as trustworthy as your words AND your actions. That said, your accounts are only as safe as the people who can log in.

Do you really trust these people?

Try this:
☐ Check all team members, collaborators, or old assistants who have access to your accounts.
☐ Remove anyone who no longer needs access.
☐ Update permissions for shared tools like Canva, Google Drive, or WordPress.
☐ Change passwords if you’ve shared them in the past. It might not be a bad idea to ask your cohorts to change their passwords as well if they’re separate from yours.

A five-minute security check today can prevent hours of cleanup later.

Track Your Digital Income Streams

If your income is flowing in from multiple sources, perhaps it’s time to put those waterfalls into a landscape (thinking like a painter here). See the big picture, you know? It’s not difficult, and you might have already made a stab at defining all your income streams. Three reasons to become serious about that effort include:

You are a sole proprietor. Organization is key to keeping your business straight.
You are growing, and you now need to find an accountant.
You are growing, and you may need to hire more help.

Try this:
☐ Make a simple spreadsheet of all income sources (Etsy, Substack, affiliates, etc.).
☐ Add average monthly amounts next to each.
☐ Highlight your top earners and least profitable ones.
☐ Set reminders to review and update quarterly.

Important: If you sell the same merchandise across all platforms, this categorization is essential; are you wasting your time and effort on any given platform?

Honoring Distant or Lost Family Connections

Some family connections lose their essence across time and space. Others fade through migration and/or lack of documentation. Even more relations become whispers, thanks to arguments, infighting, or disowning. Writing poetry about those lost or distant relationships helps us reach across generations. It allows us to speak what was left unsaid. Sometimes, that’s enough to mend an invisible thread.

Granted, poetic license allows us to speak for others, but in this case, you could be yourself and use your own thoughts, feelings, and words as you open the door to welcome those once-lost individuals.

Poetry Form Spotlight: The Epistle (Letter Poem)

An epistle poem is written as a letter to someone, living or dead, near or far. It’s the perfect form for reconnecting with a relative or ancestor you never met, or one you lost along the way. Use it to express what you wish you could say, offer gratitude, or seek peace.

🪶 Tip: Begin your poem as you would a real letter: “Dear…” and sign it at the end if you wish.

Review Your Affiliate Accounts

If you’ve signed up for affiliate programs, it’s time for a tune-up. My suggestion? If you’re earning revenue from affiliate programs, they’re important enough to check every three months (or more) instead of annually. Broken links, especially, might be a monthly or weekly task.

Try this:
☐ Check which links still work and remove broken ones. If you’re using a program that doesn’t have a built-in link checker, use an external program like Broken Link Checker. I’m not sure if it works on Facebook or other social media. If you use something for that purpose, please let us know what it is in the comments! Thank you.
☐ Verify your payout info and tax forms are up to date. When you make a change in your work environment (phone, address, etc.), you need to update this information.
☐ Track which programs bring in actual revenue. Yeah, I think this is a monthly task.
☐ Drop the ones that don’t align with your brand anymore. This is a task that you can do while you’re tracking revenue.

Bonus Tip: Focus on fewer, better partnerships. Quality beats quantity every time.
